Job details

The Quickbase Project Manager is responsible for day-to-day delivery execution, schedule management, and risk/issue tracking throughout the eight-week MVP implementation and 60-day hypercare period. This role manages sprint planning and execution across three concurrent workstreams (Configuration, Integration, Reporting), tracks progress against the firm August 14, 2026 cutover date, identifies and escalates risks and blockers in real time, maintains the engagement backlog and budget tracking within the not-to-exceed cap, and ensures MCG and our client stay synchronized on schedule, scope, and priorities.

Key Responsibilities

  • Sprint Planning & Scheduling: Facilitate sprint planning at the start of each week across three workstreams. Establish sprint goals, task assignments, dependencies, and success criteria.

  • Daily Status Tracking: Conduct or support daily 15-minute workstream standups. Track task completion, identify blockers, and escalate issues that risk sprint goals.

  • Weekly Demo Preparation: Coordinate Friday demo setup with Configuration, Integration, and Reporting leads. Ensure working software is ready for demonstration.

  • Risk & Issue Management: Maintain risk register for five identified implementation risks. Update status weekly and escalate newly-identified risks within 24 hours.

  • Budget & Hour Tracking: Track actual hours worked against project cap. Monitor spend pacing weekly and alert Engagement Director immediately if overrun trajectory surfaces.

  • Dependency Management: Maintain dependency log across workstreams. Escalate blocked dependencies within 24 hours to Engagement Director.

  • Stakeholder Communication: Prepare weekly status reports for Engagement Director and support steering committee presentations with RAG status and financial pacing.

  • Quality Gate Tracking: Maintain checklist of requirements for each quality gate (Sprint 2, 4, 6, 8). Ensure sign-off criteria are met.

  • Schedule Management: Maintain detailed sprint schedule. Identify schedule risks and escalate with mitigation options. Zero schedule buffer means every blocked week shifts cutover.

  • Backlog Refinement: Maintain engagement backlog with Solution Architect and Project Manager. Ensure work is prioritized, estimated, and understood by delivery team.

  • Hypercare Coordination: Manage daily standup cadence during 60-day hypercare. Manage defect triage workflow and SLA tracking. Ensure hypercare exit criteria met by October 19.

Required Qualifications

  • 7+ years of project management, delivery management, or program management in enterprise IT implementations.

  • Experience managing large multi-workstream projects (3+ parallel teams) with firm deadlines and fixed not-to-exceed budgets.

  • Experience with Agile/Scrum delivery models, sprint-based planning, and iterative release cycles.

  • Low-code platform implementations (Salesforce, ServiceNow, QuickBase) as delivery manager or execution lead.

  • Strong stakeholder communication and reporting skills with ability to keep executives and teams aligned.

  • Experience with risk management, dependency tracking, and issue escalation in regulated or time-sensitive environments.

  • Proficiency with project management tools (Jira, Azure DevOps, MS Project) or spreadsheet-based tracking.

  • Ability to maintain calm under pressure in ambiguous, fast-moving delivery environments.

Success Metrics

  • On-time production cutover on August 14, 2026, with zero unplanned schedule delays.

  • Engagement stays within the budget through the project with 2-week advance notice if overrun projected.

  • All four quality gates completed on schedule with documented sign-offs.

  • All critical risks remain tracked and escalated with weekly status updates.

  • Weekly status reports delivered Friday with accurate hour tracking, budget pacing, and risks.

  • Steering committee presentations delivered bi-weekly with RAG status and escalation items.

  • Hypercare entered and exited on schedule with all SLAs met.

  • Zero missed sprint deadlines due to project management gaps.
