Position Overview 

The Quickbase Business Analyst is the primary stakeholder-facing role responsible for requirements discovery, operational workflow design, user acceptance testing facilitation, and training development. This role partners with MTSC Digital product owner and the six pillar leads to understand business processes and operational requirements, translates these into workflow specifications and business rules for the Solution Architect, facilitates user acceptance testing in Sprint 6, and develops training materials and change management communications for the 1,500 estimated end users and resource managers. 

Key Responsibilities 

  • Requirements Discovery: Lead Sprint 1 discovery workshops with the six pillar leads and MTSC Digital product owner. Document resource catalogue requirements, demand workflow preferences, capacity calculation rules, allocation management workflows, and reporting priorities. 

  • Workflow Analysis & Specification: Translate business requirements into detailed workflow specifications for the Solution Architect. Design the demand intake form, allocation approval workflows, over-allocation handling, and resource reallocation processes. 

  • Business Rules Documentation: Document business rules for capacity calculations, work-type categorization, over-allocation thresholds, and exception handling. Ensure rules are clear and testable. 

  • UAT Planning & Coordination: Develop UAT test plan with MTSC Digital product owner in Sprint 5. Define test scenarios covering core workflows, edge cases, role-based scenarios, and data quality validation. Identify UAT participants (pillar leads and resource managers). 

  • UAT Facilitation: Facilitate user acceptance testing with the six pillar leads and representative resource managers in Sprint 6. Run test scenarios, document defects, manage issue prioritization, and drive UAT sign-off. 

  • Defect Prioritization: Work with MTSC Digital product owner to prioritize UAT defects. Distinguish between critical blocking issues, important enhancements, and nice-to-have refinements. Support Sprint 7–8 defect resolution. 

  • Training Material Development: Author training materials for resource managers, pillar leads, and end users. Create user guides, FAQ documents, quick-reference cards, video scripts, and help text for the application. 

  • Training Delivery Support: Support or deliver training sessions in Sprints 7–8 for resource managers, pillar leads, and citizen-developer administrators. Create recorded training content for replay and self-paced learning. 

  • Change Management Support: Develop change-management communication artifacts (user briefings, adoption messaging, FAQ documents) in Sprint 6 for client to customize and distribute to the 1,500 estimated users. 

  • Citizen Developer Enablement: Document configuration guide for citizen-developer administrators covering how to add pillars, modify workflows, customize dashboards, and troubleshoot common issues. 

  • Hypercare Stakeholder Communication: Support daily standups during hypercare. Communicate with end users on resolved issues and operational improvements. Gather feedback on training effectiveness and adoption challenges. 

Required Qualifications 

  • 7+ years of business analysis, business requirements documentation, or business process consulting experience. 

  • Strong facilitation and stakeholder engagement skills. Ability to run effective discovery workshops, manage competing perspectives, and build consensus. 

  • Experience translating business requirements into system specifications that development teams can implement. 

  • User acceptance testing and quality assurance experience. Ability to design test plans, identify test scenarios, and manage defect triage. 

  • Excellent communication and documentation skills. Ability to write clear requirements, workflows, business rules, and user-facing materials. 

  • Experience with resource management, workforce planning, demand management, or portfolio management systems (as user, analyst, or implementer). 

  • Change management and training development experience. Ability to create user-friendly training materials and drive adoption. 

Preferred Qualifications 

  • Resource management or workforce planning implementations as analyst or trainer. 

  • Agile/Scrum environment experience with user story writing and requirements refinement. 

  • Low-code or SaaS platform implementations where requirements translate to configuration rather than custom code. 

  • Healthcare, life sciences, or FDA-regulated manufacturing process improvement background. 

  • Experience with multi-pillar or matrix organizational structures and cross-functional workflow management. 

  • Six Sigma, Lean, or business process improvement (BPI) certification or experience. 

Success Metrics 

  • Discovery workshops completed in Sprint 1 with documented requirements from all six pillar leads. 

  • Workflow specifications completed and approved by MTSC Digital product owner by end of Sprint 1. 

  • Business rules documented and validated by pillar leads by end of Sprint 2. 

  • UAT test plan developed and reviewed by MTSC Digital product owner by mid-Sprint 5. 

  • UAT sign-off received from all six pillar leads by end of Sprint 6 with zero critical defects remaining open. 

  • Training materials completed and reviewed by resource managers and administrators by end of Sprint 7. 

  • Training delivery completed with 80%+ attendance by resource managers and administrators by Sprint 8. 

  • Change management communication artifacts distributed to all 1,500 estimated users before go-live. 

  • Post-hypercare feedback indicates 70%+ user satisfaction with training and ease of adoption.
